Terms & conditions
The short version: we confirm every booking personally, a 30% deposit secures your date, treat the Ape kindly, and have a wet-weather plan. The long version is below.
About these terms
These terms apply to every booking of Bambino Bar Events for bar service, gelato service or dry hire, from the time we confirm your booking in writing. They apply to you and, where relevant, to your guests. If anything in your written quote conflicts with these terms, the quote prevails.
Bookings, quotes & deposits
Every booking is confirmed personally — submitting a request online does not lock the date. Your date is held once we confirm your booking in writing. A deposit of 30% of the GST-inclusive booking total is then payable to secure it; if the deposit is not received by the date we give you, we may release the date back to our calendar.
Quotes are valid for 14 days from the date they are issued. Prices are stated in Australian dollars; whether a price includes GST is stated on the quote.
Payment
The balance of your booking is invoiced separately and is due before the event, by the date shown on your invoice.
Per-head packages are quoted for the guest count you give us. If more guests attend, the additional guests are billed at the quoted per-head rate after the event.
Cancellation & rescheduling
If you need to cancel, tell us in writing as soon as you can. The deposit is non-refundable once your booking is confirmed. Any further amounts you have paid are considered case-by-case — the earlier you tell us, the more of the date we can re-sell and the more we can usually return.
Before treating anything as a cancellation, we will always try to move your booking to a new date instead, subject to our availability.
If we must cancel — for example because of vehicle failure or staff illness we cannot cover — we will first offer you equivalent substitute equipment and service where we can. If we cannot deliver the service, we refund everything you have paid in full.
Responsible service of alcohol
All alcohol is served by RSA-certified staff. Our staff may refuse service to any guest who is intoxicated, disorderly, or unable to provide acceptable proof of age, and may stop alcohol service entirely if the law requires it. Refusing service in these circumstances is not a breach of this agreement and does not entitle you to a refund.
Where the event requires a liquor licence or permit, your quote will state who is responsible for obtaining it. If the responsibility is yours or the venue's, we may decline to serve, without refund, if the required approval is not in place on the day.
Site, access & power
You must provide a firm, level site that our vehicles can reach by ordinary driving, sufficient space for the vehicles and service area as set out in your quote, and access for setup and pack-down at the agreed times. If we arrive and cannot safely access or position on the site, we will work with you to find an alternative spot; if none is possible, the booking is treated as cancelled by you on the day.
Where the quote states that power or water is required, you or the venue must supply it.
Weather
Our vehicles and carts operate outdoors and are weather-exposed. You are responsible for a wet-weather plan — a covered or sheltered position the vehicles can access. We may pause or relocate service during conditions that endanger guests, staff, or the vehicles, including extreme heat, high wind, or electrical storms. Time lost to weather is not refunded.
The vehicles & equipment
Our restored 1960 Piaggio Ape and matching gelato cart are operational vintage vehicles. In the rare case that a vehicle is mechanically unavailable, we may substitute equivalent bar or gelato service. If the vintage vehicle itself was central to your booking and no acceptable substitute exists, you may cancel for a full refund of all amounts paid.
Please look after them: guests must not climb on, lean on, or decorate the vehicles or equipment without our prior agreement. You are responsible for the cost of repairing damage to our vehicles or equipment caused by you or your guests, fair wear and tear excepted.
Food, drink & allergens
Our gelato and cocktail ingredients may contain or have contact with common allergens, including dairy, nuts, gluten, egg and sulphites. Tell us about known serious allergies before the event and we will advise what we can and cannot safely serve; we cannot guarantee that any item is free of trace allergens.
Unless your quote says otherwise, unused stock we supplied remains ours at the end of service. For dry hire, the drinks you supply remain yours.
Liability & insurance
We hold public liability insurance and can provide a certificate of currency to you or your venue on request.
To the extent the law allows, our total liability in connection with a booking is limited to the amount you paid for it, and we are not liable for matters outside our reasonable control — including venue restrictions, guest behaviour, road closures, extreme weather, or government restrictions that prevent the event proceeding.
Photography
We sometimes photograph our setup at events for our own marketing. We will always be discreet, and if you would prefer your event not appear in our material, tell us in writing before the event and we will not use it.
Privacy
We use your contact and event details only to provide and administer your booking and to respond to your enquiries. We do not sell or share them for marketing by others.
Australian Consumer Law & governing law
Nothing in these terms excludes, restricts or modifies any consumer guarantee, right or remedy you have under the Australian Consumer Law or any other law that cannot be excluded by agreement.
These terms are governed by the laws of Victoria, Australia.
